Privacy Policy

1. Who we are
Kindly Organised makes two products: Kindly Flow, a planning and organisational tool designed for adults with ADHD and busy minds, and Kindly Adjust, a tool that helps organisations manage recruitment adjustment requests. This privacy policy explains how we collect, use, and protect your personal data when you use our website and products.
The data controller is Kindly Organised Ltd, registered in England and Wales (company number 17526457), registered office 66 Paul Street, London EC2A 4NA, United Kingdom. For any privacy question or request, contact ben@kindlyorganised.com.
2. What data we collect
The data we collect depends on which product you use:
Kindly Flow (individual users):
- Account data: Your email address and a password (stored securely and never shown to us in plain text).
- Planner data: The daily entries, brain dumps, time blocks, habits, weekly resets, and task breakdowns you create. This content is tied to your account and visible only to you.
- Usage data: Basic analytics events (e.g., page views, button clicks) to help us understand how the app is used. This data is aggregated and does not identify you personally.
Kindly Adjust (candidates, recruiters, and interviewers):
- Candidate data: When a candidate submits an adjustment request, we store their first name, last name, email address, the barriers they identify, the adjustments they request, and any additional information they choose to share. Candidates are never asked for a diagnosis or medical records.
- Recruiter data: Recruiter name, email, and role within the organisation. Recruiters can see candidate requests and agreed adjustments for their organisation.
- Interviewer data: Interviewer name and email. Interviewers see only the agreed adjustments they need to implement, not underlying candidate notes or barrier details.
- Organisation data: Organisation name, settings, audit logs, and aggregated reporting.
- Contact data: If you use our contact form, we collect your name, email, and message.
3. How we use your data
- To provide and maintain Kindly Flow and Kindly Adjust and their features.
- To send you account-related emails (welcome, password reset, and occasional product updates).
- To process payments through our payment provider, Stripe.
- To respond to messages you send via our contact form.
- To improve our products through aggregated analytics.
- For Kindly Adjust: to help organisations manage recruitment adjustment requests and deliver agreed adjustments to candidates.
4. Data minimisation (Kindly Adjust)
Kindly Adjust is designed around data minimisation. Candidates are encouraged to explain what would help them rather than being required to disclose medical information. Interviewers see only the agreed adjustments they need to implement, not the underlying barriers or personal notes. Each organisation's data is kept separate with role-based access controls.
5. Payment processing
We use Stripe to process Kindly Flow subscription and lifetime payments. Stripe handles your card details directly. We never see or store your full card number. Stripe's privacy policy is available at stripe.com/privacy.
6. Data sharing
We do not sell your personal data. We do not share your planner content (Kindly Flow) or candidate adjustment requests (Kindly Adjust) with third parties. We only share data with the service providers we rely on to operate the app (e.g., Stripe for payments, our email provider for transactional emails), and only to the extent necessary to provide those services. For Kindly Adjust, candidate data is visible to the recruiting organisation's authorised users as described above.
7. Data retention
Kindly Flow: Your planner data is kept for as long as your account is active. If you delete your account, all your planner entries, habits, weekly resets, and task breakdowns are permanently deleted. You can delete your account at any time from the Settings page in the app.
Kindly Adjust: Candidate data is retained for a configurable period determined by the recruiting organisation. Organisations can set their own retention period. When data is deleted, it is permanently removed. See our Security & Trust centre for more details.
8. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data (by deleting your account, or for Kindly Adjust candidates, by contacting the recruiting organisation).
- Withdraw consent for marketing emails.
To exercise these rights, contact us.
9. Security
We take reasonable steps to protect your data using secure storage, encrypted connections (HTTPS), and access controls. For Kindly Adjust, each organisation's data is kept separate with role-based access. No method of transmission or storage is 100% secure, but we work hard to protect your information. See our Security & Trust centre for more details.
10. Children's privacy
Our products are designed for adults. We do not knowingly collect data from anyone under 16. If you believe a child has provided us with data, please contact us and we will delete it.
11. Changes to this policy
We may update this privacy policy from time to time. We will update the "Last updated" date at the top of this page whenever we make changes.
12. Cookies and analytics
We use essential cookies and local storage to keep you logged in and remember your preferences. We also use optional analytics cookies to understand how our products are used, for example, which pages are visited and which buttons are tapped. This data is aggregated and does not identify you personally. We do not use advertising cookies or sell your data to third parties. You can choose to accept all cookies or necessary only when you see our cookie banner, and you can clear cookies in your browser settings at any time.
